If you need to amend a visit's time, visit notes, or visit status, you can do this manually on Access Care Planning. However, amending the visit times doesn't send the information to Access Care Rostering or Webroster.
Depending on how your tenant preferences are set up, there are two ways to do this: either the visit in the service user record has three dots in the right-hand corner, or you will need to change the visit status.
β οΈ Important: You can only do this if you're a tenant administrator.
Editing within visit times
If your tenant preferences are set so that the visit can be ended an amount of hours after the visit time, you can edit information as long as you are editing within this time.
To get started, follow these steps:
Click the three-line menu.
Under Services, select the relevant service and service user record.
From the left-hand panel, click Visits, then locate the relevant visit.
Click the three dots in the top right, then click Amend visit.
Enter the correct Actual Start Date & Time, Actual End Date & Time.
Enter the visit notes, then click Next.
If required, select and complete the activities if required, then click Next.
πNote: If the activities have already been marked as complete or not complete, they cannot be amended at this stage.
If required, add forms, then click Save.
Editing out of visit times
If you need to edit the visit outside of the visit time, and you can't edit it from the visit, you'll need to put the visit back to outstanding.
To do this, follow these steps:
β οΈ Warning: Any previous Check-in data, such as location, start and end time, will be removed from the original call as you have completed this.
Click the three-line menu.
Click Visits, then locate the relevant visit.
π€Tip: If you are unsure of the visit, find the visit on the service user's record and copy the visit ID number.
Click Edit, then change the status to outstanding.
Click the three-line menu.
Under Services, select the relevant service and service user record.
From the left-hand panel, click Visits, then locate the relevant visit.
Click the three dots in the top right, then click Amend visit.
Enter the correct Actual Start Date & Time, Actual End Date & Time.
Enter the visit notes, then click Next.
If required, select and complete the activities, then click Next.

If required, add forms, then click Save.
