To schedule medication on varied days, you’ll need access to a rostering system that integrates with Access Care Planning, such as Access Care Rostering or Access People Planner.
This process involves steps in both the rostering system and Access Care Planning. First, you’ll need to create two service requirements in your rostering system that run on a two week rotation. This is necessary because a standard week has an odd number of days, making it impossible to alternate medication days evenly without occasionally having two consecutive days.
Once the service requirements are created, they'll feed through to Access Care Planning. This can take around 15 minutes. After they appear in Access Care Planning, you can add the relevant medication, activities, and a custom schedule for the specific days the medication needs to be administered.
⚠️Important: Amending an existing service requirement in your rostering system automatically remove all associated activities and medications from the care plan. These can be added back on and explained in the Access Care Planning section.
Access Care Rostering
To set up a new service requirement on Access Care Rostering follow these steps.
Click Service User, then click Service User.
Click Find, then select the relevant service user.
Click Service Requirements.
Select the relevant Service Order.
Click the Service Requirement Details tab.
Either edit an existing service requirement or click the plus icon.
Add the start date and time.
Where you see the days of the week, add the number of required carers.
Within occurs every week, add 2.
Click Save.
To create the second week, click the plus icon.
Add the start date and time of the following week.
Fill out all other necessary fields as above.
Click Save.
Access People Planner
To set up a new service requirement on Access People Planner follow these steps.
Click Service User, then hover over Service User.
Click Find, then select the relevant service user.
From the QuickLinks click Service Requirements.
Select the relevant Service Order.
Click the Service Requirement Details tab.
Either edit an existing service requirement or click the plus icon.
Add the start date and time.
Where you see the days of the week, add the number of required carers.
Within occurs every week, add 2.
Click Save.
To create the second week, click the plus icon.
Add the start and end date and time of the following week.
Fill out all other necessary fields.
Click Save.
Access Care Planning
Once the service requirements have pulled through, you can add medication and a custom schedule in Access Care Planning by following these steps.
Click the three line menu.
Select the relevant service the service user is under.
Select the relevant service user.
From the left-hand panel, select Care Plans.
Locate the relevant care plan.
Click Add Activity or medication.

Search for the correct medication.
Fill out the relevant fields.
Check the Custom Schedule checkbox.
Add the start and end date and time.
Select the days of the week the medication needs to be given.
Click Save.
Repeat on the week two care plan.
🤓Tip: If you need it to show every other day, you can select: Monday, Wednesday, Friday, Sunday.
The second week would then be: Tuesday, Thursday, Saturday.
