Setting up next of kin access

In this article, we explain how to set up a next of kin user.

You can create a user for next-of-kin, commissioners such as CQC, or service users themselves. This is done in five parts. Having this allows the users to see who is attending visits, what time visits are, visit notes, and forms. You can limit access to what you want them to view.

Adding a new user

Firstly, you need to add a new user to your system to do this:

  1. Click the three-line menu.

  2. Click Configuration, then click User.

  3. Click New User.

  4. Enter the details such as Name, Address, Username, etc.

  5. Select Set Random Password.

  6. Select users type as Other User.

  7. Choose the same branch as the service user.

  8. Click Create.


Add relation

Once the next of kin user is created, you need to add a relation to the service user. To do this, follow these steps:

  1. Click the three-line menu.

  2. Under services, select the relevant service.

  3. Select the service user record for whom you want to add a next of kin.

  4. In the top left, click the service user name.

  5. Click Add Relation.

  6. From the dropdown, select the relationship.

  7. Enter the name of the authorised user.

  8. Click Save.


Add role based permissions

Once you have added the relation you need to add role based permissions so that the next of kin user is able to view the service users visits and information.

  1. Click back to go back to the service user record.

  2. Click Roles. Then check if there is a role called next of kin or similar.

  3. If and once you have the role in place click Edit, and add the new next of kin user under the user's field.

  4. Click Update.


Subscription

You will need to check that the next of kin user is subscribed to the relevant service so that they are able to see the service user to do this follow these steps:

  1. Click the three line menu.

  2. Click Configuration.

  3. Click Services, and select the relevant service.

  4. Click subscriptions.

  5. Find the next of kin user.

  6. Click subscribe if it says subscribe.

πŸ“ŒNote: If the user has Subscribe next to their name this would mean they do not have access. If they have Unsubscribe this would mean they have access to the record.


Setting up a device

Once everything is set up for the user you will need to register their device. To help you register the next of kin device, you can take a look at our register a device article.

Once the device is created here are the steps that the Next of Kin will need to take to log into the app:

  1. They need to log in to the app.

    πŸ€“β€‹Tip: The server is cloudx replace the x with your cloud number the username and PIN are what you have created.

  2. When logged in tap cases.

  3. In the top right, tap the three dots.

  4. Tap follow cases.

  5. Search for the service user record.

    πŸ€“β€‹Tip: Type the first three letters rather than the full name.

  6. Tap the case to download it.

  7. Tap the case again to open.

Once logged in, users can see as far back on visits as needed. Once on the visit page, keep scrolling up, and more visits become visible. For form visibility, this is dependent on the settings for how many the device will retain at a time, set in tenant preferences.
