Data retention policy

In this article, we explain how to change the data retention policy on the Access Care Planning app.

Updating the Data Retention Policy to a longer duration, such as 14 days, helps ensure that information already downloaded to a device is not removed prematurely. However, this change does not influence how far in advance new visit data is fetched or displayed. The system is intentionally designed to download and show upcoming visits only within a 7‑day window, regardless of the retention period configured on the device.

This limitation reflects the fast‑moving nature of the care industry, where schedules can shift rapidly, and visits may be amended or cancelled at short notice. Displaying visits too far ahead risks presenting carers with outdated or inaccurate information. While the retention policy safeguards how long data remains on a device after download, it does not determine the timeframe for subsequent visits.

For organisations aiming to adjust how many days in advance visits are generated or sent, these settings are managed within Access People Planner, specifically through the configuration of the 24‑hour file and related scheduling parameters. Meanwhile, the Access Care Planning app allows carers to extend the amount of historical visit information they can view by adjusting the retention policy on each device. This setting must be applied individually and cannot be updated in bulk.

⚠️Important: This setting doesn't allow carers to view more than seven days' worth of visits.

Data retention policy is set to seven days by default. To change this, follow these simple steps on the Access Care Planning app:

  1. Tap the three-line menu.

  2. Tap Settings, then tap Data Retention Policy.

  3. Select the number of days you need.

  4. Sync the device.
